Admin: Required Training — Assign River Runs

Required Training lets you make a River Run mandatory for the people you choose, optionally with a due date, and follow who has finished. It suits onboarding, safety and compliance training, and policy refreshers.

Assigning a run does three things:

  • It enrolls each person, so the run appears in their Current Runs.
  • It puts the run in a Required for you section at the top of their River Runs page.
  • It marks the run's card Required · Due Oct 14 wherever the card appears.

Where to find it

  1. Go to Engage in the admin sidebar and open the River Runs tab.
  2. Next to Run catalog, click Assignments ("Require runs & track progress").

You can also assign a run directly from the run itself:

  • open the ⋯ menu on the run's card in Engage → River Runs and choose Assign; or
  • open the run in the run editor and click Assign at the top right.

Assigning a run

Click New assignment, or use Assign on a run, and fill in the dialog.

If the run already has an assignment, the dialog tells you and offers to edit the existing one instead, so you don't end up with two. Assigning the same run to exactly the same people twice isn't allowed.

1. River Run

Pick the run. You can assign your team's own runs and runs from the Give River library.

2. Assign to

Choose one or more of the following:

Option Who it covers
Everyone Every active member of your company
People Specific people you pick by name
Teams & groups Members of the chosen chat groups and season teams
Locations Members at the chosen locations
Departments Members in the chosen departments
Roles Members with the chosen job titles (positions)
Saved segments Everyone a saved segment matches today (see Audiences & Saved Segments)

You can combine People, Teams & groups, Locations, Departments and Roles. Anyone who matches at least one of your choices is included. For example, choosing the Denver location and the Safety crew group assigns the run to everyone in Denver plus everyone in Safety crew.

A saved segment is used on its own. The assignment follows the segment's rule as it stands, so if someone edits the segment later, the assignment's audience changes with it.

The dialog shows how many members match right now. To reuse your picks in other audiences, click Save as segment under the count.

Locations, departments and roles come from each member's profile (Our Team → Members), or from your HRIS if it's connected.

3. Due date

Option How it works
No due date The run is required but never overdue.
Fixed date Everyone has the same deadline.
Days after assigned Each person gets the same number of days from the day they were assigned. We recommend this for onboarding.

With a fixed date, a member who is assigned after that date has passed gets no due date. Nobody is overdue on their first day.

4. Auto-assign new members

Turn on Auto-assign new members to keep the assignment going. People who join later and match your audience get the run automatically.

Auto-assign needs an audience that can match new people: Everyone, Teams & groups, Locations, Departments, Roles or a saved segment. If you pick only specific People, the switch is turned off, because those people are already chosen.

Auto-assign uses each member's join date, not the date their Give River account was created:

  • the join date is their HRIS hire date when your HRIS provides one (or the joining date entered on their profile);
  • otherwise it's the day they joined your company in Give River.

A member is auto-assigned only if their join date is on or after the date in Applies to members joining on or after. That date defaults to the day you create the assignment, and you can change it.

Auto-assign runs as soon as a new member joins, including through an HRIS sync or a CSV import. A nightly check also catches anyone who was missed.

5. Notifications

Setting Default What it does

Member emails are off unless you turn them on. By default, notices appear only in the app and as push notifications. Even with Also email members on, a member who was auto-assigned because of an HRIS sync is never emailed about that assignment. The assignment is recorded quietly, and they see it the next time they open Give River.

Click Assign to save. Members are enrolled right away.

Tracking progress

The Assignments page has two tabs.

By run shows every assignment with:

  • the run;
  • who it's assigned to;
  • its due rule, and whether auto-assign is on;
  • counts of Assigned, Completed, In progress, Not started and Overdue;
  • % complete.

Click an assignment to open its member table. For each person it shows:

  • location and department;
  • status and progress;
  • due date and completed date;
  • quiz score, if the run has a quiz.

A small Auto tag marks people who were added by auto-assign.

In the member table you can:

  • filter by status, location and department, or search by name;
  • click Export CSV to download the rows currently shown, for your records or an audit. Besides each person's status, progress and dates, the file has an Assigned by column: the admin who made the assignment, or Auto-assign for people added automatically.

By member lets you pick one person and see all of their required runs, with status, progress and due dates. Type part of a name to filter the list, then click the person you want.

A member's progress comes from the run itself: the share of the run's Streams (quizzes included) they've finished, the same percentage they see on the run card. If someone finished the run before it was assigned, they show as Completed.

Editing, pausing and removing

Open the ⋯ menu on an assignment (or on its member table) to make changes.

  • Edit lets you change the audience, the due date, the reminders or auto-assign.
    • People your new audience adds are assigned.
    • People it no longer covers are un-assigned, unless they already finished.
    • A new due rule updates everyone who hasn't finished yet.
  • Pause auto-assign: edit the assignment and turn Auto-assign new members off. People already assigned keep the run.
  • Remove stops the run being required and stops all reminders. Members keep their enrollment and progress, and can still finish the run.

When someone leaves your company, their open assignments stop counting and reminding. If they come back, or your HRIS reactivates them, the assignments return.

Weekly admin digest

Every Monday, your approvals contacts receive one email listing each assignment that has overdue members, and who they are. These are the admins chosen in Settings → Notifications → Approval notifications; if nobody is chosen there, it goes to your billing admins.

To stop the digest for an assignment, turn off Weekly overdue digest to admins in that assignment.
